How We Work with Travel Advisors
Net rates you mark up yourself, documents that carry your branding, and a client who stays yours. The mechanics, spelled out.
From enquiry to departure
How a booking runs
You send the trip, not a form
Dates, party, pace, and what your clients actually care about — wine, art, castles, mountains, or simply quiet.
We come back with an itinerary, priced net
A programme you can put in front of your client, with one net figure per service or per programme — yours to mark up.
We refine it together
Days are swapped, shortened or rebuilt until the shape fits. The scarce pieces — timed entries, licensed guides — are held as early as possible.
One planner runs the trip
The person who built the itinerary briefs the guides and drivers and stays reachable while your clients travel. Changes on the ground are acted on first and reported to you immediately after.
Unique Germany sells nothing to the public. Every programme we run reaches its guests through a travel advisor, and this page sets out the mechanics of that relationship — how we quote, whose name is on the documents, who owns the client, and what happens between your first email and your clients’ arrival.
Net rates — or commission, if you prefer
Our default is a net quote: one figure per service or per programme, yours to mark up, never seen by your client. There are no rate tables to decode and no published prices your client can compare against — the margin is yours to set. If your agency works on commission instead, say so with the enquiry and we quote gross; the important part is deciding before the documents are built, not after.
What a quote separates is fees from disbursements: our planning and operation on one line, pass-through items such as entrance tickets, parking, tolls or a driver’s overnight on their own lines — so you can always see what is our charge and what is a cost we are forwarding.
White label, properly done
Itineraries, day sheets and driver instructions can carry your branding and no mention of us. Tell us at quote stage — not after the documents are built — and everything your client holds in their hands comes from you. On the ground your clients meet a guide and a chauffeur who know the programme; they do not meet a second brand.
Your client stays your client
We do not market to your clients during or after the trip. No newsletter follows them home, no anniversary email arrives a year later. If a guest contacts us directly — and after a good trip some try — we route the enquiry back to you. The relationship is the asset you bring to the table, and the arrangement only works if it stays intact.
From enquiry to confirmed programme
Send the dates, the party and what your clients care about. What comes back is not a brochure but an itinerary you can put in front of them, priced net. The person who builds it is the person who prices it, briefs the guides and chauffeurs, and stays reachable while your clients are on the ground — there is no handover from a sales desk to an operations desk. Days can be swapped, shortened or rebuilt until the shape fits; every programme is a starting point, not a package.
Deposits, balance dates and the cancellation scale are governed by our general business terms. Where a local provider requires its own guarantee or deposit — some hotels and venues do — we tell you in advance rather than folding it silently into a price.
Lead times, honestly
We do not publish response promises we cannot verify, so here is the honest version: the constraint is rarely us, it is Germany. Advent, Oktoberfest and the spring fair weeks book out months ahead. Timed castle entries — Neuschwanstein above all — sell out weeks ahead and decide the shape of the whole day. Licensed guides in the cities that examine their own guides are scarcer than cars and should be secured early. A transfer, by contrast, can often be arranged at short notice. The earlier we hold the scarce pieces, the more freedom the rest of the itinerary keeps.
What we claim, and what we do not
We are a Virtuoso Preferred Supplier and have been since 4 September 2013 — the listing is verifiable in Virtuoso’s own supplier directory. Beyond that, we would rather show you how we work than list memberships: send one enquiry and judge the reply.
The vocabulary
Terms we quote in
- Net rate
- One figure per service or programme, yours to mark up. Your client never sees it, and there is no public price to compare it against.
- Commission
- The alternative: we quote gross and your share is agreed up front. Choose the model at enquiry stage, before documents are built.
- White label
- Itineraries, day sheets and driver instructions carry your branding and no mention of us.
- Fee vs. disbursement
- Our charge on one line; pass-through items such as tickets, parking, tolls or a driver’s overnight on their own lines.
- Disposal day
- Vehicle and driver at your clients’ disposal for a set number of hours, with stops and changes of mind built in — not a point-to-point transfer with a detour.
- Client ownership
- Yours, contractually and in practice: no marketing to your clients, and direct enquiries are routed back to you.
What we operate
The services behind every programme
Questions advisors ask
Before your first enquiry
Do my clients ever see your name?
Only if you want them to. Documents can carry your branding exclusively — say so at quote stage and everything your client reads comes from you. On the ground they meet a guide and a driver, not a second brand.
Can you work on commission instead of net rates?
Yes. Net is our default because most advisors prefer to set their own margin, but if your agency works on commission we quote gross instead. Decide with the enquiry — switching models after documents are built is where errors creep in.
How far ahead should I send an enquiry?
As early as the scarce pieces demand. Advent, Oktoberfest and the spring fair weeks book out months ahead; timed castle entries sell out weeks ahead; licensed guides in the examination cities go earlier than cars. A transfer alone can often be arranged at short notice.
Who looks after my clients while they travel?
The same planner who built and priced the itinerary — there is no handover to an operations desk. When something changes on the ground, we act first and tell you immediately afterwards.
What happens if my client contacts you directly later?
We route the enquiry back to you. We do not market to your clients during or after the trip — the client relationship stays yours.
